What Is Inventory Accounting in TallyPrime?

Inventory Accounting is the process of recording, monitoring and valuing the goods purchased, sold, stored or transferred by a business.
It involves maintaining records of:
  • Opening Stock
  • Purchases and Sales
  • Stock Items and Stock Groups
  • Godown and Warehouse Transfers
  • Physical Stock Adjustments
  • Closing Stock Valuation
  • Inventory Reports

Benefits of Inventory Accounting

Better Purchase Planning: Identify when products need to be reordered.
Improved Financial Reporting: Maintain stock values that support the preparation of the Profit & Loss Account and Balance Sheet.
Reduced Stock Differences: Compare actual warehouse quantities with accounting records.
Better Business Decisions: Identify slow-moving stock, stock shortages and inventory levels.

How to Enable Inventory Accounting in TallyPrime

Before recording inventory transactions, check the company’s inventory settings.

Step-by-Step Process

  1. Open your company in TallyPrime.
  2. Go to Gateway of Tally.
  3. Press F11 (Features).
  4. Check that Maintain Inventory is set to Yes.
  5. Enable Integrate Accounts with Inventory if you want inventory values linked with accounting reports.
  6. Save the settings using Ctrl + A.
Important: Maintain Inventory is generally enabled by default in current TallyPrime versions. The accounts-inventory integration option can be enabled according to business requirements.
Businesses managing multiple warehouses or batches should also configure the relevant godown and batch features.

Inventory Masters in TallyPrime

Inventory Masters form the foundation of stock accounting. Creating the correct masters helps avoid duplicate items and incorrect inventory records.

A. Stock Group

A Stock Group classifies similar inventory items.
Example:
Stock Group: Electrical Goods
Stock Items:
  • Ceiling Fan 1200mm
  • LED Bulb
  • Electric Switch
Stock Groups help businesses generate category-wise inventory reports.

B. Stock Category

Stock Categories provide another way to classify inventory independently of Stock Groups.
For example, electrical products may be categorized according to brand or product characteristics.

C. Stock Item

A Stock Item represents an individual product purchased, sold or stored.
Examples include Ceiling Fan 1200mm, LED Bulb 9W and Copper Wire.

D. Units of Measurement

Units define how stock quantities are measured.
Common examples:
UnitMeaning
NosNumbers
KgKilograms
LtrLitres
BoxBoxes
MtrMetres
TallyPrime also supports compound units, such as:

1 Box = 12 Nos

For GST reporting, use the appropriate Unit Quantity Code (UQC).

E. Godown / Location

Godowns represent the locations where inventory is stored.
Examples:
  • Main Location
  • Pune Warehouse
  • Nashik Shop
Godown-wise inventory management helps businesses identify available stock at different locations.

Physical Stock Verification in TallyPrime

Physical stock verification means counting the goods actually available in the warehouse and comparing them with the quantity recorded in TallyPrime.

Practical Example

Book Stock: 50 Nos
Actual Physical Stock: 48 Nos
Difference: 2 Nos Shortage

Steps to Record Physical Stock

  1. Open Gateway of Tally → Vouchers.

  4. Enter the physically verified quantity.
  5. Mention the reason for any difference in the narration.
  6. Save the voucher.
After the adjustment, the inventory record reflects the physical quantity.

Why Is Physical Stock Verification Important?

Regular verification helps identify stock shortages, recording errors, damages and discrepancies between warehouse records and accounting books.
Businesses should perform stock reconciliation periodically, based on transaction volume and inventory risk.

Closing Stock Calculation in TallyPrime

TransactionQuantity
Opening Stock50 Nos
Add: Purchases100 Nos
Less: Sales(80 Nos)
Less: Physical Shortage(2 Nos)
Closing Stock

Closing Stock Formula
Opening Stock + Purchases − Sales − Stock Shortage = Closing Stock

50 + 100 − 80 − 2 = 68 Nos

If the applicable weighted average cost is approximately ₹1,066.67 per unit, the illustrative closing stock value is approximately ₹72,533.
The actual value reported by TallyPrime depends on the selected valuation method, transaction details and rounding.

Stock Valuation Methods in TallyPrime

Stock valuation determines the monetary value assigned to inventory.
TallyPrime supports various costing methods, including Average Cost and FIFO.

A. Weighted Average Cost Method

Under this method, stock is valued using the average cost of available inventory.
Example
Opening Stock: 50 Nos × ₹1,000 = ₹50,000
Purchase: 100 Nos × ₹1,100 = ₹1,10,000
Total Quantity: 150 Nos
Total Cost: ₹1,60,000
Average Cost = ₹1,60,000 ÷ 150
Average Cost = ₹1,066.67 per unit
Before physical stock adjustment, closing quantity is 70 Nos.
Closing Stock Value = Approximately ₹74,666.67

B. FIFO Method (First In, First Out)

Under FIFO, the earliest purchased inventory is considered sold first.
In our example, the remaining 70 ceiling fans are valued at ₹1,100 per unit.
70 × ₹1,100 = ₹77,000

Comparison of Stock Valuation

ParticularsWeighted AverageFIFO
Closing Stock Qty70 Nos70 Nos
Closing Stock Value₹74,666.67₹77,000
Cost of Goods Sold₹85,333.33₹83,000
Gross Profit₹34,666.67₹37,000
This comparison is before the 2-unit physical stock adjustment and excludes GST and other expenses.
For financial reporting, applicable accounting standards generally require inventories to be valued at the lower of cost and net realisable value, with permitted cost formulas applied consistently
